ARTICLE I

DUES
Section I. The annual dues shall be established by the executive board at their first meeting of each year.

Section II. Dues for the associate members shall be two-thirds of the amount established for the regular members.

ARTICLE II

MEETINGS
There shall be a minimum of four general meetings per year.

ARTICLE III

OFFICER ELECTION
Section I. Elections shall be held at the next-to-the-last general meeting of the school year.

Section II. The nominating committee shall prepare a slate of candidates for each office and present it to the membership in writing two weeks before the election meeting.

Section III. At the election meeting, nominations for officers shall be accepted from the floor.

Section IV. Voting shall be by secret ballot for any office having more than one nominee.

ARTICLE IV

RECORDS
Section I. There shall be at least three (3) copies on file of all association proceedings.
The recording secretary shall submit:
1. One copy of a master file to be housed in the office of the supervisor of library media services.
2. One copy for the recording secretary’s file which is to be passed to the incoming secretary.
3. One for the president’s file.
Section II. Association memorabilia shall be housed in a file located in office of the supervisor of library media services.

ARTICLE V

COMMITTEES
Section I. The president shall appoint all committee chairmen except the chair of the program committee. This position is to be held by the vice president/president elect.

Section II. The nomination committee shall consist of five (5) members: two (2) appointed by the president, three (3) elected by the membership at the second general meeting of year. present at the first meeting after January first of the new calendar year. It shall be chaired by one of the elected members designated by the president.
It shall be this committee’s responsibility to prepare the ballot for the election of officers, distribute and count the ballots.

Section III. Standing committees shall be:
a. Program Committee
1. Chaired by vice president/president-elect.
2. Responsible for planning and implementing programs for general meetings.

b. Luncheon Committee
Responsible for place, meal, program reservations, and decorations for the annual spring luncheon.

c. Membership Committee
1. Responsible for collecting dues, distributing membership cards, and keeping the official membership roll.
2. The treasurer is a member of this committee.

d. Newsletter Committee
1. Chaired by newsletter editor(s).
2. Responsible for soliciting copy, editing, layout, printing, and distribution.
3. All publications must be submitted to the elected members of the board president for review before publishing.

e. Media Directory Handbook Committee MDMSA Web Page Committee
1. Responsible for continuous updating and revisions of the association directory. maintaining and updating association Web page.
2. Sending letters to potential advertisers.
3. Forwarding fees received to the treasurer.

f. Technology Committee
Responsible for helping library media specialists understand and update technology.

g. Professional Growth Committee
1. Responsible for establishing liaison with other professional groups.
2. Disseminating information regarding courses and workshops.
3. Promoting activities to stimulate and recognize professional growth to the membership.

h. Public Relations Committee
Responsible for keeping the community aware of the important role played by the library media program in relation to the total school program through news releases to the media.

i. Legislative Committee
1. Responsible for establishing a liaison with FAME and the Miami-Dade County legislators.
2. Bringing to the attention of the membership political issues which are of special concern to school library media specialists.

j. Friendship/Care
1. Responsible for establishing and keeping current guidelines which determine:
a. Who shall be remembered.
b. On what occasions.
c. In what manner.

2. Sending remembrances according to guidelines.

k. Refreshments Committee
Responsible for refreshments at meetings as needed.

l. Telephone Committee
Responsible for establishing a telephone tree among board and general members to communicate information as needed.
l. Carol Boudreau Memorial Student Media Production Award Committee
Responsible for administering the award to the producer(s) of an for outstanding student media productions in various media categories and by academic grade level.

1. Publicizing the contest.
2. Judging entries and selecting winner(s).
3. Purchasing award(s).
4. Presenting award(s).
